Job Description:

We are looking for a dynamic, self-motivated Executive Assistant to support: The Chief Procurement Office/Vice President of Procurement and department staff as needed. The right candidate must be flexible, organized, proactive, and calm under pressure. Excellent communication and inter-personal skills are essential for this role because interaction with senior staff and others across all levels of our business groups is necessary. While being a self-starter is important we need someone who will be a good team player as part of the Global Supply Chain Admin Group. This position also requires the ability to prioritize the tasks and duties assigned for the Procurement leadership team. The main responsibilities include calendar management, scheduling meetings and travel, expense reimbursement, troubleshooting with equipment, communication support and other projects as requested.

KEY RESPONSIBILITIES:


- Serve in executive aide capacity

- Display organization skills & provide structure to large complex global entity

- Coordinate both strategic and operational initiatives through capability in communications, planning & tracking

- Coordinate activities that drive operational excellence across an optimized network including defining and collecting data and packaging insights

- Meeting & agenda creation for long term initiatives such as pre-meeting planning and preparation, presentation creation/revision, summary creation and management of next steps/action items

- Engage and work within any environment and stakeholders to identify and complete given tasks on time

- Proactively identify and resolve issues

- Positively impact the Chief Procurement Officer by improving effectiveness and time management

- Calendar: Ensures appropriate time management for all Sr. Staff in scheduling and arranging meetings.

- General administrative support: Track and follow up on urgent and pending issues, prepare correspondence and presentations, maintain group working, reference and historic files, and process incoming and outgoing mail.

- Maintain working knowledge of relevant Biogen Idec policies and procedures and provide information in this regard as required.

- Manage expense reporting for supported staff by preparing and submitting expense reports, some including international travel related transactions.

- Submit requests for purchase orders, tracking invoices through the payment process, ordering supplies for all of Procurement.

- Logistic support, coordination and set up of meetings and events by managing the process from start to finish to include arranging and necessary equipment, preparing agenda and relevant information, preparing minutes (as needed) and other relevant tasks.

- Business travel arrangements for department. Understands preferences of supported staff, and proactively troubleshoots and addresses travel conflicts. Additionally, arranging visitor offices and coordinating office support needs in satellite s.

- Trains or familiarizes new staff on Biogen work processes and procedures, and acts as a resource to new employees as required.

Qualifications
- Strong verbal and written communication skills
- Excellent inter-personal and writing skills
- Exceptional organizational skills with a demonstrated ability to multi-task with multiple staff members.
- Demonstrated ability to work efficiently and to perform tasks simultaneously with minimum supervision in a fast paced environment.
- Possess a high-level of proficiency with Microsoft Office with an emphasis on Word and PowerPoint.
- Ability to exercise sound judgment and determine priorities.
- Demonstrated experience in execution and accountability for project coordination. EducationBachelor's Degree with 3 or more years of administrative experience required (7-15 preferred).
