Job Description

  • Manage Outlook calendars ensuring priority meetings are scheduled and attended. Provide all meeting attendees/stakeholders with necessary documentation for meetings and ensure all attendees are well prepared.
  • Facilitate direct contact between senior leadership and other individuals. Act as liaison with other departments and parties outside the organization to coordinate meetings, scheduling, and other issues.
  • Provide timely, courteous responses to all requests and inquiries, maintaining highest levels of confidentiality when warranted, including phone calls, staff personnel/salary information, etc.
  • Coordinate travel for the VP as well as any member of the teams that need/ask for assistance.
  • Acts as liaison with the team during the VP's absence to coordinate departmental activities and deliverables
  • Backs up other administration personnel supporting other senior level leadership within the organization to cover her job duties in times of absences, vacations, etc.
  • Compose, edit, compile and distribute reports and documents as requested.
  • Create PowerPoint presentations for senior level distribution.
  • Facilitates and coordinates all activities surrounding an onsite or offsite event to host internal and external visitors to the site
  • Assist with special projects as requested and as priorities allow
  • Assist with putting a comprehensive customer list together
  • Assist with setting up or rescheduling conference calls
  • Assist with new hires - paperwork and ordering equipment
  • Ordering business cards and stationary
  • Ordering supplies for all AEs and Directors
  • Printing and binding of presentations
  • Manage and host sales pipeline and platform calls. (provide agenda and compile updates)
