DEPARTMENT: Legal Affairs - Legal Operations

The Legal Affairs line of business is comprised of the Law Department, Corporate Ethics and Compliance and Legal Affairs Operations, and provides legal services and compliance oversight to the Company globally. Within Legal Affairs, the Legal Operations team provides services in the areas of records management, office services, project management, facilities, information resources, knowledge management and matter management. In addition, Legal Operations acts as a liaison to Finance, Human Resources, Communications and Information Technology.

Direct Reports: Director - Planning Team, Director - Strategy Execution Team,

Other Key Stakeholders: General Counsel, attorneys, managers and associates across legal affairs.

THE ROLE: The position is responsible for leading the Legal Operations department which provides support globally for 1100 associates in Legal Affairs. The incumbent ensures operational efficiencies that result in a high level of service and support for Legal Affairs attorneys, managers and associates. The position is a member of the VP & Chief of Staff's senior leadership team and a key strategic advisor for the design and execution of strategy as it relates to Legal Operations. Key responsibilities include: (1) financial management, (2) vendor management, (3) talent management, (4) oversight of Legal Affairs business operations, (5) IT Portfolio Management, (6) Information Management, (7) Communications, and (8) project management.

Key Responsibilities:

Strategic Planning Support

Develops and implements the Legal Operations Department strategic plan.

Financial management

Responsibilities include: financial planning, reporting, development of associated departmental practices and policies, budgeting and forecasting, working with finance on accruals, measuring performance against budgets, leveraging key information management tools (e.g., matter management and e-billing systems) to collect and communicate financial information both within and outside the legal department, primary liaison with finance and accounting departments. Identifies the drivers of legal affairs expenses and trends and provides recommendations for cost reduction/avoidance along with process and functional improvement.

Vendor management (including Outside Counsel)

Provides oversight for procurement personnel to guide the department's external vendor relations, oversees vendor rates, billing and compliance with company policies and billing guidelines. Ensures vendor expenses are tracked and reported, the incumbent often works with Legal Affairs, its leadership, and other departments such as Procurement to select vendors, develop vendor assessment tools, identify and address vendor relationship issues, and develop strategies for leveraging and maintaining solid vendor relationships.

Talent Management

Ultimately accountable for the performance of 17 operational associates supporting Legal Affairs, including 2 direct reports. Drives annual Performance and Development Process including: goal setting, career and development planning and performance rating /review. Handles compensation planning and department talent reviews. Manages personnel issues and escalates as appropriate to the department head and/or Human Resources. Provides coaching and feedback on performance and career development. Develops and implements a talent development strategy for Legal Operations that aligns to Legal Affairs talent objectives (i.e. continuing education, on-line training, development course, on-the-job experiences, mentoring, cross training).

Business Operations Center

Provides oversight to the business operations center, which provides day-to-day administrative and operational support to Legal Affairs. This includes the provision of office equipment, coordination of new hire onboarding activities, training of new associates on technological applications and mail delivery.

IT Portfolio Management

Oversees technology programs to meet the needs of Legal Affairs, develops strategic technology roadmaps and ensures effective management of the department's technology resources, in particular those systems and processes that are dedicated to the legal department (e.g., matter management or e-billing). The center also serves as a liaison with the corporate IT department regarding technical support of the legal department and integration of the legal department processes with company-wide systems.

Information management

Ensures the development and implementation of technology for efficiently creating, storing, and sharing Legal Affairs work product and records, provides oversight for the Legal Affairs library.

Project management

Ensures operations team members execute projects in support of legal affairs needs in an effective and efficient manner. This includes projects that support attorneys, managers, leaders and others across the organization.

Communications

Partners with Corporate Communications to create and manage Legal Affairs communication strategies and tactics.

Policies and Procedures

Develops and maintains department policies and procedures.

Job Requirements:

  • Bachelor's Degree required

  • A minimum of 7+ years of related work experience in operations management, legal administration and/or Law firm experience would be a plus

  • 7+ years of experience managing and leading others

  • 7+ years of project management experience

  • 7+ years of strategic planning experience

  • Experience managing a budget

  • Strong public speaking abilities

  • Strong interpersonal and communication skills, including the ability to interact with individuals at all levels of the organization.
