Job Description

Executive Assistant will provide secretarial support to VP and staff:

  • Responsibilities consist of typing letters, memoranda and reports using PC programs and software
  • Organizes and prioritizes incoming mail, maintains file call-up systems and databases
  • Accurately tracks expenses for VP, processes and submits receipts accurately and on schedule
  • Prepares for meetings including ordering lunch, booking conference rooms, setting up projector or video conferencing units
  • Provides sophisticated calendar management. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance, makes judgments and recommendations to ensure smooth day-to-day engagements
  • Assembles and collates materials for distribution
  • Composes correspondence expressing manager's viewpoint
  • Provides complex travel arrangements. Becomes familiar with the specific, detailed needs of the VP and travel partners, creates consistent travel itinerary portfolios for reference and be available during travel times to quickly address any last minute changes or cancellations
  • Routes call to appropriate party(s)
  • Obtains and gives standard information to callers
  • Coordinates department's administrative activities, may recommend improvements to administrative procedures
  • Maintains documents and records following administrative policies
  • Partners with Chief of Staff to coordinate events
  • Performs other duties as required or assigned

Job Requirements:

  • Extensive knowledge of PC equipment and software programs
  • Advanced Microsoft PowerPoint, Outlook, Excel and Word skills
  • 5+ years' experience.

Required Education

  • High School diploma
