Job Responsibilities: - Intake and routing of legal process and incoming mail per instructions from litigation counsel- Set up of litigation matters in litigation management database- Organizing and maintaining complex, changing calendars using a high level of tact and integrity- Making complex travel arrangements including air, hotel, & transfers- Coordination of internal and external meetings and team events, including room booking, catering, etc- Coordinating, preparing and reconciling of expenses for lawyers and paralegals- Producing accurate reports, presentations, documents and general correspondence in a timely manner- General follow-up, reminders in order to effectively meet deadlines and commitments- Organizing regular team meetings- Supporting on-boarding of employees and/or contractors including working with Human Resource vendors, submitting requests for laptops, office equipment, etc- Ad hoc project work as directed by attorneys- Must provide coverage to other Executive Assistants on the team

Job Requirements:

Qualifications:- Minimum 5 years of experience in a law firm or large organization
- Ability to work efficiently and effectively in a busy corporate office setting
- Paralegal experience preferred
- Strong proficiency with MS Office, including Word, Excel, PowerPoint and Outlook required
- Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow-through on projects
- High level of integrity required for handling sensitive and confidential information
- Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively
- Punctual and reliable, with a close attention to detail
- Ability to interface effectively and diplomatically with executives and Executive Assistants across the organization
- High level of administrative and organizational skills, including excellent verbal and written communications skills
- High school diploma required
